Moving from PTminder

PTminder is closing.
I'll move you over myself.

PTminder retires on 31 December 2027. OneRep is the business app for 1:1 personal trainers, built by a coach who has run his own studios on PTminder for years. Founding coaches get a free, done-for-you move.

Why I built OneRep

Built by a coach who's in the same boat.

I've coached for 17 years, delivered over 20,000 sessions and run two studios in Northwood. I got the same email you did. I'd already started building OneRep because I wanted software made for the way 1:1 coaches actually work, and I wanted to own my own data.

"Every screen in OneRep came from a problem I had in my own studios. If it didn't make my week easier, it didn't go in."Sam Beagle, founder of OneRep

What moves over

Your business comes with you, not just a list of names.

From your PTminder exports, we bring over everything OneRep needs to pick up where you left off.

  • Clients and their contact details
  • Packs, sessions left and expiry dates
  • Memberships, prices and next billing dates
  • Regular weekly slots, set up with you on the call
  • Coaches, if you have a team
  • Notes, including injuries and health notes

How the switch works

Five steps. No gap in your diary.

  1. Export everything from PTminderDownload every export it offers, starting with your client list. Keep a copy somewhere safe, whatever you decide.
  2. Book a switch call with meA short call to go through your packs, memberships and coaches, and agree a date that suits you.
  3. We import it togetherYour PTminder files go into OneRep's import template, so every client lands on the right plan. You check it before anything goes live.
  4. Run both side by sideKeep PTminder going while you get comfortable. Nothing changes for your clients until you're ready.
  5. Move payments and invite clientsConnect your Stripe account, then clients get a link to your branded app. Anyone who needs to set up a payment again gets a one-tap link.

The switch checklist

8 things to check before you choose your next PT software.

Whatever you move to, ask these first. They're the things that cost coaches money when they go wrong.

Can you get all your data out, and in?

Export everything from PTminder now. Then ask any new provider exactly what they can import: clients, packs with sessions left, memberships and future bookings.

Do monthly payments actually go out on their own?

Ask how memberships are billed. Proper subscriptions and Direct Debit mean clients approve once, then pay every month without you chasing "pending" payments.

Is it built for 1:1, or for class timetables?

Most studio software starts with a class grid. Check it handles 1:1 sessions, partner sessions, repeat bookings and each coach's own hours.

Are packs and memberships counted for you?

Every session, late cancel and no-show should come off the right plan automatically, with no tally on the side.

Does it handle pro-rata and VAT?

If someone starts on the 17th, the first payment should work itself out. If you're VAT registered, you should see what to set aside without a spreadsheet.

Can it work out coach pay?

Per session or a percentage, with late cancels included. If you have a team, this alone can save hours a month.

Will your clients see your brand?

Your clients should book and pay in an app with your name on it, not the software company's.

What will it cost when you grow?

Check the price at 50 clients and at 200. Pricing per client goes up as your business does.

Questions

Switching from PTminder: your questions.

When is PTminder closing?

PTminder told its customers by email in October 2026 that it is winding down, and that the platform retires on 31 December 2027.

How do I get my data out of PTminder?

Export everything PTminder offers, starting with your client list, and keep a copy. OneRep imports a PTminder client export into its own template, and for founding coaches I do the import with you on a call.

Will my clients have to set up their payments again?

If your clients already pay through your own Stripe account, you connect that same account to OneRep and we check what can carry over. Anyone who needs to set up again gets a one-tap link to do it.

How much does OneRep cost?

There's a 14-day free trial. Founding coaches pay £19 a month, kept for as long as they stay subscribed. The standard price is £39 a month per studio, whatever your client count.

Is my data safe?

Card and bank details are handled by Stripe, never stored by OneRep. Each studio's data is kept separate, and the database is hosted in London.

Is OneRep connected to PTminder?

No. OneRep is an independent company, OneRep AI Ltd. PTminder is a trademark of its owner, and OneRep is not affiliated with or endorsed by it.
